About the Role
A well-established property management company in Johannesburg is seeking an experienced Sectional Title Property Portfolio Manager to join their growing team and deliver exceptional service to trustees, owners, and stakeholders across their portfolio of schemes.
Key Responsibilities
Administration & Advisory
- Manage insurance renewals, valuations, and insurance claims
- Advise trustees on the Sectional Titles Act, governance, and scheme rules
- Assist with rule amendments, constitutions, and CSOS submissions
- Guide trustees on special levies and legislative compliance
- Prepare and explain debtor arrears reports
- Manage CSOS annual returns and statutory submissions
- Assist owners and trustees with online portals and documentation
- Coordinate municipal documentation and legal records
- Process pet applications, incident reports, and governance matters
Secretarial
- Arrange, attend, and facilitate Annual General Meetings and trustee meetings
- Prepare agendas, minutes, resolutions, voting documentation, and meeting packs
- Advise trustees on governance procedures, voting rights, and meeting requirements
- Coordinate online and hybrid meetings
- Prepare levy increase notices and related communications
- Maintain all statutory and scheme records
- Draft and distribute circulars, warning letters, and penalty notices
Accounting & Reporting
- Validate supplier invoices and obtain payment approvals
- Prepare and explain annual budgets to trustees and members
Maintenance
- Source and vet contractors and obtain quotations
- Coordinate maintenance requests between trustees and service providers
- Arrange repairs and maintenance on common property
- Conduct site inspections and compile inspection reports
Requirements
- Minimum of 2 years' experience as a Sectional Title Portfolio Manager
- Relevant tertiary qualification, Sectional Title Diploma, or Property Management Certificate (advantageous)
- Own reliable transport
- South African citizen
- Customer-focused with excellent relationship-building skills
- Strong communication and interpersonal abilities
- Highly organised with excellent administrative skills
- Accountable, responsible, and able to work independently
- Positive attitude with strong problem-solving skills
